This handout provides an overview of board committees and their associated roles and responsibilities. BYLAWSThe Bylaws Committee provides for the orderly and lawful operations of the organization in a manner that facilitates accomplishing its mission. Duties may include: - Reviewing present bylaws
- Soliciting suggestions from the staff and board for changes, additions, and deletions
- Offering written proposals on changes for the board’s review.
PERSONNELThe Personnel Committee develops and reviews the policies and practices pertaining to the physical assets and personnel employed by the organization. Duties may include: - Reviewing present personnel policies regarding salaries, benefits, hours, and working conditions
- Soliciting suggestions for personnel changes from staff and board
- Preparing proposed policies for vote by the board.
- Updating and educating staff and board about changes
- Preserving latest version of policies in board notebooks
- Conducting an annual performance review of the organization’s president
- Serving as the search committee to employ a new president, when needed.
LONG RANGE PLANNINGThe Long Range Planning Committee creates or authorizes and monitors the three- to five-year strategic plan of the organization. Duties may include: - Reviewing the organization’s mission statement annually
- Monitoring progress on goals and objectives
- Semi-annually, identifying and reporting to the board on any notable progress or problems, as well as offering strategies for change
- Updating environmental data and regularly identifying important issues the organization may face in the future
- Planning and hosting a long-range planning retreat.
FINANCE and DEVELOPMENTThe Finance and Development Committee creates financial stability and secures resources necessary to permit the organization to accomplish its mission. Duties may include: - Recommending policies for systematic and accountable fund-raising
- Recommending policies for applying for grants and reporting on expenditures to the organization’s public and private funding sources
- Reviewing the organization’s funding sources to assure the integrity of the organization and its purposes
- Preparing and recommending (in conjunction with the organization’s treasurer and president) the annual budget to the board
- Reporting at each Board meeting on the financial condition of the organization.
NOMINATINGThe Nominating Committee provides leadership and develops leaders so that the organization can operate effectively according to its bylaws and mission. Duties may include: - Maintaining an up-to-date file on all current board members, including annual assessments of attendance and performance
- Nominating candidates for board membership and board offices
- Making recommendations to the board of directors in regards to inactive members
- Planning with staff the board orientation for new members.
PUBLIC POLICYThe Public Policy Committee monitors and develops policy regarding issues that affect the mission, reputation, or credibility of the organization. Duties may include: - Developing position statements on philosophical issues
- Formulating policies concerning the ownership, use, and release of data by the organization
- Monitoring the day-to-day performance of board and staff in regard to the position statements of the organization.
LOCAL COUNCIL DEVELOPMENTThe Local Council Development Committee ensures that local communities have effective tools to develop an organization that will address adolescent pregnancy in the community. Duties may include: - Providing and/or coordinating technical assistance from the organization to existing local councils
- Ensuring that the board has representation from local councils or coalitions
- Encouraging each board member to be involved in a local community’s pregnancy prevention efforts
AWARDSThe Awards Committee creates, develops, and evaluates an awards program recognizing outstanding contributions to and impacts on the mission of the organization. Duties may include: - Developing an award program, including application procedures, types of awards, publicity, and presentations
- Reviewing nominations for award
- Presenting recommendations for awards to the board for its vote
- Preparing publicity for and notifying recipients of awards
- Making awards at an organized event, such as an annual meeting or conference.
